The Process
If
you are planning to be employed at any time during the year, this
question and answer guide should help you follow the procedures
that are mandatory in the employment process. There are
several different forms required for different reasons during this
process. Read through these questions and answers carefully to determine
which procedures and forms apply to you.

What do I do first?
Look carefully at the Authorization for Student Employment Form.
This form will be blue. You will need to look at section C. On
some of your forms section C will already be completed. Some of
you will need to take steps to complete it. The process for doing
this is included in these instructions.

What do I do if Section C is incomplete?
Take the form to the Payroll Office located on the first floor
of the Lynch-Raine Administration Building. You will need to take
proper identification with you. Please continue reading to understand
what is considered proper identification.
- What
does "proper identification" mean?
Please refer to the Proper Identification Listing located in the
Payroll Office. For most of you, this will mean a U.S. passport
or both a driver's license and social security card but the list
provides options if these are unavailable. A West Virginia Wesleyan
College ID is not proper identification.

Once section C is completed, what do I do?
If you have already secured a position, take the Authorization
for Student Employment Form to your supervisor. Remember that
sections A, B, and C must be complete before you take this form
to your supervisor. You may not begin work until this form is
completed and given to your supervisor. Your supervisor may approve
less than the amount authorized in Section B. Your supervisor
will ask you to sign section E in his/her presence. Remember if
you are returning to the same position that you had last year,
you will need to follow these procedures.
If you have not secured a position, you should go to the Academic
& Career Center and review the job postings there or you may visit
the West Virginia Wesleyan College Student
Jobs Center for posted student job opportunities. An Academic
& Career Advisor will be available to provide job-seeking guidance.
You will need to contact the supervisor listed on the job posting
to arrange an interview. If you obtain a job take your Authorization
for Student Employment Form to the supervisor. Remember that sections
A, B, and C must be complete before you take this form to your
supervisor. You may not begin work until this form is completed
and given to your supervisor. Your supervisor may approve less
than the amount authorized in Section B. Your supervisor will
ask you to sign section E in his/her presence.

Is everything done now?
Not quite, your supervisor now needs to fill out section D of
your Authorization for Student Employment Form and have you complete
section E. Your supervisor may approve less than the amount authorized
in Section B. It is the supervisor's responsibility to return
the Authorization for Student Employment Form to Debbie Mullens,
Finance Office in the Administration Building and then you may
begin working.

What if I would like to have more than one job?
You may work at more than one job but, you must stay within the
amount of money authorized in your student employment award and
you may not work more than 15 hours per week. Begin the process
for an additional job by using the Authorization for Student Employment
Additional Job Assignment Form. This form is green. It will be
automatically mailed to you when your blue form is received. Don't
begin working at any additional positions until this form has
been properly completed and returned. You will need one form for
each additional job you intend to undertake.

What do I do with the green form?
Take the Authorization for Student Employment Additional Job Assignment
Form to your additional supervisor and have your supervisor complete
section C and you will complete section D in their presence. Your
supervisor may approve less than the amount authorized in Section
B. Your supervisor will return this completed form to Debbie Mullens,
Finance Office in the Administration Building and you may begin
working.

What do I do if I would like to change jobs and use my award in
another position?
If you determine that you would like to change positions or change
a portion of your award for another position, you must request
that your supervisor complete a pink Authorization for Release/Termination
Form and return it to Debbie Mullens in the Administration Building.
You will be notified by campus mail about the student employment
award still available to you on an Authorization for Student Employment
Additional Job Assignment Form which is green.
- What
do I do if I need, misplace, or do not receive a form?
If you misplace or do not receive an Authorization for Student
Employment Initial Assignment Form (blue) or an Authorization
for Student Employment Additional Job Assignment Form (green),
you should contact the Payroll Office for a new form by contacting
them at phillips_l@wvwc.edu.
If you need timesheets or Authorization for Release/Termination
Forms (pink), you should contact the Student Affairs Office by
contacting them at mellquist_h@wvwc.edu.
