Administrative Assistant – School of Education (part-time)
Assist the Director and the Faculty of the School of Education. Manage a wide range of administrative duties requiring a high degree of confidentiality, skill, reasoning ability, understanding, and independent judgment. Manage sensitive student and program data. Organize and coordinate the flow of information among the School of Education, the campus, and the community.
- Serve as staff assistant and confidential assistant to the School Director and the faculty of the School of Education
- Gather and compile statistical data for reports, meetings, and surveys
- Manage internal reports and external reports submitted to the accrediting bodies, federal and state government, as well as federal and state department of education; proofread and verify for accuracy and arithmetical computations
- Process and manage education files related to teacher candidacy, accreditation, academics, assessment, and budget
- Manage communication with community partners, partner schools, and county school systems
- Manage data input and reporting of student and program assessment system
- Compose, proofread and distribute correspondence for faculty, director, teacher education committee, and director of clinical experiences
- Prepare and maintain advising and admissions materials
- Interview, train, supervise and evaluate student employees
- Manage budgets, organizational charts, and fiscal forms; proofread and verify for accuracy and arithmetical computations
- Schedule meetings and provide logistics and arrangements for interviews, accreditation visits, conferences, appointments and other events as assigned
- Attend meetings, record, and distribute meeting minutes as assigned
- Demonstrate sensitivity to all students, faculty, staff and community at large
- Serve as a role model and mentor for students as appropriate
- Ensure operation of equipment by completing preventive maintenance requirements, calling for repairs, and maintaining equipment inventories
- Maintain supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies, and verifying receipt of supplies
- Perform other duties as assigned by the School and the College
Required Qualifications:
- Advanced skills in using Microsoft Office and other electronic equipment
- Thorough knowledge and application of office practices, procedures, and management
- Experience in exercising discretion and dealing with confidential matters
- Demonstrated ability to make independent decisions
- Demonstrated ability to communicate effectively in written and oral form
- Demonstrated ability to manage an office efficiently with tact and grace
