Reporting to the Assistant Vice President for Alumni Engagement and Annual Giving (AVP), this role will focus on “friend-raising” by organizing alumni and stakeholder events, coordinating class reunions, assisting with social media engagement, and serving as the chief greeter at the Erickson Alumni Center, all to build and maintain mutually beneficial relationships with Wesleyan alumni and friends. This position aims to build and sustain meaningful alumni relationships and deepen engagement through dynamic programming and targeted communications, ultimately increasing institutional trust, visibility, and pride at West Virginia Wesleyan.

Specific job responsibilities include:
• Serve as the chief greeter and building coordinator for the Erickson Alumni Center, ensuring a comfortable, clean, and safe meeting space for guests, including managing maintenance work orders and building safety needs. This may require periodic lunch time flexibility or coordination of building coverage.
• Engage in “friend-raising” initiatives, including outreach to specific alumni and friends for engagement purposes.
• Coordinating the planning and execution of alumni-specific events, fundraising-related gatherings, and special college functions, both on and off campus. This includes coordinating reservations, food orders, and other on- and off-campus event logistics, as well as preparing invitations, managing registrations, and creating name tags and sign-in sheets.
• Collaborate with the AVP on hallmark campus events such as Commencement and Homecoming, assisting with planning, execution, and serving as the registration point of contact to ensure seamless delivery and alumni involvement.
• Coordinate Special Reunions and Events, including Class Reunion and Class Chair programs, by communicating with representatives, preparing mailings, coordinating event logistics, and managing registrations.
• Manage alumni-facing social media accounts, ensuring consistent brand voice and regular, relevant, and engaging content.
• Prepare class notes and obituary information for the Sundial alumni magazine.
• Assist with planning and preparing for Alumni Council meetings and other activities as requested by the AVP.
• Support new creative strategic planning initiatives for alumni programming.
• Serve as a resource for the Emeritus Club and their respective events.
• Coordinate the WVWC license plate program and other constituent engagement tasks, such as sending baby gifts to alumni upon learning of a new arrival.
• Assist the Advancement and Alumni Offices in building and maintaining relationships among various constituencies, including identifying alumni and friends for special programs and projects based on their interests. This includes maintaining regular and personal communication with key alumni to foster their advocacy and championing of the College.
• Maintain a comprehensive working knowledge of the College’s mission, vision, and history.
• Perform other duties as assigned and requested by the AVP and/or Vice President for Advancement.

 

This is a full-time, 12-month position and requires two to three years of related experience. A Bachelor’s degree is preferred. The ideal candidate will be proactive and self-motivated, with excellent organizational skills and high attention to detail. They must possess strong interpersonal, verbal, and written communication skills, with the ability to work both independently and in a team environment. The role demands the ability to meet firm deadlines, adapt to rapidly changing priorities, and handle multiple tasks simultaneously. Maintaining strict confidentiality with constituents’ personal data or proprietary College information is essential, as is a high level of integrity and discretion. Required skills include thorough knowledge and use of personal computers and related software applications, basic database functions, and the ability to work effectively with diverse constituencies. The position also requires the ability to travel (limited) and work flexible hours occasionally.
