Reporting to the Assistant Vice President for Advancement, the Coordinator of Philanthropic Information provides fiscal and administrative support services to the Office of Advancement and Alumni Relations. The Coordinator’s primary responsibility is database maintenance, which includes gift entry, alumni information updates, periodic data integrity checks and maintenance, and other related duties. The Coordinator will also generate and share reports with stakeholders and work with Advancement and Alumni staff to further the goals of the department and the College at large through programmatic and operational support.

Duties and Responsibilities:

• Enter donations into the database and generate gift reports.

• Prepare gift transmittals to the Controller’s office.

• Print and prepare gift receipts for mailing.

• Prepare donor correspondence, including stewardship items and routine questions from donors.

• Create and distribute gift reports to department heads and other stakeholders on a monthly basis.

• Assist with donor file maintenance, including record updates and obituaries within the Raiser’s Edge database system.

• Import new alumni records after May and December graduations.

• Assist with office projects as assigned, including preparing mailings and other time-sensitive initiatives.

• Provide operational support for local events and other fundraising activities, including Homecoming and Commencement.

• Coordinate bulk mail operations, including operation of equipment and interacting with vendors to problem solve.

• Maintain a comprehensive working knowledge of the College, including mission, history, and current fundraising priorities to assure effective representation of all opportunities and priorities for philanthropic support of the College.

• Other duties as assigned by the Assistant Vice President or VP.

This is a full-time, 12-month position. A Bachelor’s degree with at least two years of relevant experience is preferred. The Coordinator will be expected to handle multiple tasks simultaneously, communicate effectively, work both independently and within a team environment, possess excellent time management and organizational skills, periodically maintain a flexible lunch schedule to provide coverage during busy periods, and have the ability to meet firm deadlines. Strict confidentiality when working with sensitive constituent data is required. Experience with Microsoft Office products is required, along with knowledge of the basic functions of a CRM database.
