The Coordinator of Philanthropic Events & Research is focused on “friend-raising,” and research. This person will serve as the face of the Erickson Alumni Center, deepening engagement through dynamic programming, targeted communications, and high-level prospect research. This position aims to build institutional trust, visibility, and pride by maintaining mutually beneficial relationships with alumni and friends. This position reports to the Assistant Vice President of Alumni Engagement and Annual Giving, but supports the entire division.
Key Responsibilities
1. Event Planning & Hospitality (Friend-Raising)
• Chief Greeter & Building Coordinator: Manage the Erickson Alumni Center, ensuring a comfortable, clean, and safe environment. Sit at front desk, welcoming guests and serving as front-line contact for constituents. Manage maintenance work orders and building safety needs.
• Event Execution: Assist in the planning and execution alumni and community-specific events, fundraising gatherings, and special college functions (on and off campus). This includes logistics, reservations, catering, invitations, and registration management.
• Hallmark Events: Collaborate with the AVP on Commencement and Homecoming, serving as the primary registration point of contact.
• Reunions & Affinity Groups: Coordinate Class Reunion programs and Class Chairs; serve as a dedicated resource for the Emeritus Club.
2. Prospect Research & Fundraising Support
• Prospect Research: Conduct in-depth research to identify and qualify potential donors. Use online tools and wealth screenings to provide valuable data on donor capacity and giving propensity.
• Executive Briefings: Prepare detailed event and meeting briefings for the President, Vice President, and Advancement staff.
• Strategic Outreach: Identify alumni for special projects based on their interests and maintain personal communication to foster advocacy for the College.
• Leadership Support: Provide administrative and research assistance to AVPs, Directors, and the VP for Advancement as needed.
3. Communication & Engagement
• Social Media: Manage alumni-facing social media accounts, ensuring a consistent brand voice and engaging content.
• Publications: Prepare class notes and obituary information for the Sundial alumni magazine.
• Constituent Care: Coordinate the WVWC license plate program and “first arrival” gifts for alumni families.
• Creative Strategy: Support new strategic planning initiatives for alumni programming.
Qualifications & Required Skills
• Experience & Education: Bachelor’s degree preferred; two to three years of related experience in events, research, and/or advancement.
• Technical Proficiency: Strong working knowledge of LinkedIn, personal computers, and software applications, especially MS Excel and Word.
• Database Experience: Practical experience with database functions and maintaining data integrity.
• Communication: Exceptional interpersonal, verbal, and written communication skills.
• Discretion: Proven ability to maintain strict confidentiality and handle sensitive proprietary information with high integrity.
• Adaptability: Ability to meet firm deadlines, manage multiple tasks simultaneously, and work both independently and as part of a team.
Working Conditions
Requires periodic lunchtime flexibility for building coverage. Must be able to travel (limited) and work flexible hours evenings / weekends occasionally for events.
